Purchasing Executive
 
This is a Shared Service position and supports both Fairmont Singapore & Swissôtel The Stamford. The Purchasing Administrator will support the Group Purchasing Office in running the daily procurement operations of the hotel.
 
Summary of Responsibilities:
Reporting to the Group Director of Purchasing, responsibilities and essential job functions include but are not limited to the following:

Process and send out Purchase Orders
Reconcile Purchases Orders and Invoices
To respond immediately to order/supply emergencies arising from Late Delivery, Late Order, Usual Supplier is out of stock, Stock Shortage in market
To respond immediately to queries from end users/suppliers with regards to Purchase History, Article Code, Status of Purchase Requests and Delivery
Source and obtain quotations and samples for purchases including tabulation of price analysis to recommend to users
To tabulate quotation and come up with price comparisons across suppliers
Negotiation of contracts for Food and Beverage and General Supplies procurement
Prepare monthly purchases report for analysis

Qualifications:
Minimum Diploma qualification
Prior Purchasing experience in the hospitality industry with strong knowledge of materials in procurement system is an asset
Strong negotiation skills, organised, meticulous with excellent interpersonal and communication skills
Possess a positive, mature, highly initiative attitude
A team player who is able to work independently in a fast paced environment
Proficient in Microsoft Office Applications
Able to commence work immediately or within short notice

This is achieved through the support, coordination, maintenance and/or enhancement of various reports, events, applications, tools and documents that service the hotel sales colleagues.

Summary of Responsibilities:

Reporting to the Director of Sales, responsibilities and essential job functions include but are not limited to the following:

Consistently offer professional, engaging and friendly service
Qualify general inquiries, respond personally, and directs to appropriate sales person or follow-up on their behalf in a timely manner
Directly support assigned Sales Directors/ Managers by generating proposals, contracts and assisting in the monthly sales reports
Maintain current sales and promotional literature and have a complete knowledge of hotel’s services and facilities
Ensure prompt and courteous service is extended to both internal and external customers
Provide secretarial duties as required and creating and updating clients’ requirement in Opera Sales & Catering
Participate in select sales activities both on and off property
Arrange and participate in site inspections, client functions and familiarization tours as required
Integrate as an effective team player with Sales and all other departments in the hotel as required

Qualifications:

Minimum GCE “A” Level / Diploma Holder
Previous experience in group sales is an asset
Self-motivated with excellent time management and multitasking skills
Opera and Property Manager experience preferred

Fairmont Singapore & Swissôtel The Stamford Management Trainee Program will not only allow you to apply and develop your management and leadership skills, but will also be uniquely designed to match your specific career goals in the hospitality industry. The program offers an opportunity to acquire a good understanding of the job functions through performance of a wide variety of duties in the Talent & Culture department.

You shall build a strong foundation in planning, organising and coordination as well as the knowledge and experience through hands on projects for the various portfolios under the learning & development and recruitment sections in Talent & Culture Department to prepare you to embark on a human resources role.
